AI project management tools do four very different jobs in 2026: polish text, summarise project status, create tasks, or take on work as an agent. Stackfield stays with text features on its own models in Germany, and factro says it has no AI yet. Asana, ClickUp, monday.com, Notion, Jira and awork offer agents and meter them through credits.
For teams in Europe, three questions separate the tools: is AI included or an add-on, from which plan does data stay in the EU, and which model providers process the requests. ClickUp and Notion offer an EU region on Enterprise only, and both Jira and Notion exclude AI processing from data residency. Stackfield and Pharen Hub can be self hosted. All facts were checked on 19 September 2026.
“Not all tasks succeed.” Microsoft put that sentence into the help page for its Planner agent. factro, a project management vendor from Bochum, went one step further in March 2026 and wrote about its own product: no AI features yet, plenty of automation instead.
Two vendors, two honest sentences. On most other product pages the same two letters appear everywhere. Sometimes AI means a button that makes a comment sound friendlier. Sometimes it means an agent that creates, assigns and completes tasks. The price gap between those two runs from €3.90 to $28 per user per month.
We checked twelve tools for what their AI does inside a project, what it costs and where the data ends up. Pharen Hub is on the list, so every fact about the others comes from their own pages, fetched on 19 September 2026 and linked below. Where a page gave us nothing we could verify, we say so.
How does AI help in project management?
AI helps in project management on four levels, and most tools cover only some of them.
Level 1, text. Rewrite, correct, shorten, translate. It saves minutes and changes nothing about the project. Stackfield stays here on purpose.
Level 2, overview. The AI summarises project status, open tasks and comment threads and drafts status reports. Asana, ClickUp, awork, Notion and Pharen Hub do this.
Level 3, creation. A description becomes tasks, boards or whole plans. Trello Premium generates boards from a prompt, and the Planner agent creates tasks from chat.
Level 4, agents. An agent gets a task assigned and returns a result, or it triages requests, distributes work and triggers the next step. Asana lists more than 30 prebuilt AI Teammates, ClickUp has an agent in the role of “Project Manager”. awork agents never act without human confirmation, and in Pharen Hub critical actions wait for approval.
Risk detection and forecasting show up in many roundups as a fifth level. We did not find them documented as a standard feature on any of the pages we checked.
AI project management tools: what the AI really does
The table shows what each vendor says about its own AI, plus one limit the vendor admits or the documentation makes plain.

What does AI cost in a project management tool?
Most of the twelve tools include AI in a paid plan. ClickUp and Stackfield sell it as an add-on, and Microsoft Planner ties it to a Copilot licence. Almost everywhere, credits decide how much of it you can use, so a per user list price tells you little until you read the credit rules next to it.

A worked example for 15 people at list prices: ClickUp Business with Brain AI comes to 15 times $28, so $420 a month. Notion Business costs €292.50, monday.com Pro €285, the middle awork plan €180, and Stackfield on the €14 plan with the AI add-on €268.50. Pharen Hub on the Team plan costs €79 for the whole workspace, plus AI usage. The tools cover different ground, so the numbers are not like for like. They do show how fast a per seat price grows with the team.

Where is the data, and which model reads along?
A European data centre answers half the question. The other half: which model provider receives the content of your tasks when someone presses the AI button?

Three patterns stand out. With the large US vendors, the EU region sits on the most expensive plan: Enterprise at ClickUp and Notion, an Enterprise add-on at Asana. At Jira and Notion, data residency explicitly ends where the AI begins. Among the German tools, only Stackfield keeps the models inside its own hosting, and the price is an AI that stays with text features.
Certificates, as far as the fetched pages show them: ClickUp lists SOC 2, ISO 27001:2022, 27017, 27018, 27701 and 42001. Stackfield lists ISO 27001 and BSI C5, MeisterTask ISO 27001:2022. At factro the data centre holds ISO 27001. Pharen does not currently claim an ISO 27001 certification. How we secure operations and access is described on the security page.

Pharen Hub is no specialist for resource planning or time tracking. If that is the heart of your project work, a dedicated project management tool will serve you better. The Hub pays off when project status, agreements and approvals live in four tools today and an agent therefore never sees the whole picture. How to test an AI tool with a real project
- Take a running project with at least 30 tasks and real comments, not a demo board.
- Let the AI write the status for management and compare it with what the project lead would have said.
- Give an agent a job that returns every week, for example turning meeting notes into tasks. Count how often someone has to fix the result.
- After a week, note the credit consumption and project it onto the whole team and twelve months.
- Ask the vendor in writing about EU region, model providers and retention at those providers, for your plan and not for Enterprise.

Which AI project management tool can be used in line with GDPR?
Your use becomes compliant, no tool is compliant by itself. Good starting conditions are hosting in Germany or the EU on your plan, a data processing agreement, and model providers that neither train on nor retain your data for long. Stackfield, awork, MeisterTask and factro host in Germany, and Stackfield runs the models itself. Stackfield and Pharen Hub can run on your own infrastructure.
Will AI replace the project manager?
No. On the vendor pages we checked, AI handles summaries, task creation and clearly scoped agent jobs. Microsoft itself writes that not every task succeeds. awork and Pharen Hub only let agents act after confirmation or approval. Priorities, conflicts and commitments stay with people.
