A colleague wants to summarise a customer complaint. It contains a name, an email address and details of an order. Before asking which AI writes the best summary, ask what should happen to that file.
Searching for a “GDPR-compliant ChatGPT alternative” often produces a list of reassuring labels. Your actual decision is more specific: whether a particular service, contract and configuration fit this particular use.
Reduce the file before comparing tools
Does the summary need the customer’s name? Does it need the full order history? Removing unnecessary details makes the task clearer as well as reducing the data involved. Use a fictional complaint when trying candidate tools.
Then establish who receives the input, how it is used and how long it is kept. Ask about the model service as well as the visible application. The European Data Protection Board’s SME guide explains the wider responsibilities; a product label cannot replace that assessment.
Check what the next colleague can see
A good summary is only part of the task. Who may open the original complaint? Who may see the draft? What happens when someone leaves the team?
Test the permissions with accounts representing different roles. A system that helps one colleague find a document should not expose it to another who should not have access. Keep this check separate from how fluent the summary sounds.
Choose the scale of change you need
If you only need a controlled place to draft and summarise, evaluate that use directly. If the complaint also needs a task, a discussion and an approved reply, follow those steps too. That may point toward a shared workspace rather than another standalone chat.
