The onboarding checklist says “Laptop ordered.” On Monday morning, the new colleague arrives. The laptop does not. The interesting question is what the team can find out without asking the person who made the checklist.
Use that example to compare Pharen and Notion. It is a test of a setup, not proof that one product always handles onboarding better. Notion has databases, tasks and automations as well as pages. Reducing it to a wiki would miss the actual choice.
Follow the laptop, not the feature list
The handbook can explain how equipment is ordered. The new hire’s task needs to show whether this particular order happened, when it is expected and what to do if it is late.
In your Notion setup, open that task. Can you reach the order confirmation from it? Can the colleague covering IT see the current delivery estimate? If so, you may already have what you need. Adding another workspace would create migration work without fixing a gap.
If the answer is buried in an inbox, work out why. Perhaps the process needs one attachment or a clearer update. Perhaps every hire requires someone to gather information from several systems again.
What happens when the laptop is late
Once a delay is visible, the team needs a way to deal with it. That is the next part of the onboarding to inspect.
An agent could help prepare a status update from the connected information. It cannot make a missing laptop arrive. The team still needs a way to arrange a temporary device and tell the new colleague what will happen.
That is the part to follow in a demo: can someone recognise the delay, record the alternative and continue without a private briefing?
Include the cost of moving
A familiar Notion workspace may contain years of pages, links and habits. Rebuilding those has a cost even if the next subscription looks cheaper. Compare Pharen’s current plans with the Notion plan you actually use, then add the tools you would still keep.
