Change one field in the contact form. Does the enquiry still arrive?
Try that question before signing with an AI agency. It sounds small, but it reaches beyond the demo: someone needs to understand the connection, find the failure and help the team recover.
An agency can deliver a working workflow while leaving all of that knowledge with its developers. The project then ends, but your dependence does not. We are an agency ourselves, so this is a standard our own handovers need to meet.
Dependence can build without anybody planning it
During implementation, the agency accumulates knowledge. It understands a field, a customer exception and the reason for a particular approval. That is useful during the project. Questions reach people who already know the context.
Afterwards, the same knowledge becomes essential to the customer team. If it stays in the builders’ heads, even small changes require another explanation and another wait. This does not have to be intentional. It can result from treating access credentials as the entire handoff.
Useful documentation records decisions as well as steps. Why does the process stop here? Which source is authoritative? What may the owner change, and what requires technical help?
Ask the agency to explain a failure
A normal-case demonstration establishes that a workflow can run under those conditions. Add missing data or an unavailable service. The agency should be able to show where the problem appears, what has already happened and how work resumes.
Your team does not need to develop every technical component. It should be able to recognise work that is waiting, work that continued incorrectly and work that may safely be restarted. An understandable error with an owner may help more than an unexplained log file.
Include this before final acceptance. It reveals more about daily operation than another slide of potential use cases.
Establish whose accounts are running the work
A workflow might run in a customer account, an agency account or a managed environment. Each arrangement has consequences. Who receives the bills? Who can revoke access? What happens if the customer changes providers?
Specify the actual handoff: configuration, documentation, agreed usage rights and a way to export the customer’s data. “You own everything” is less helpful than an explicit description.
Include the model service in an AI project. The server running the workflow and the service processing its text may be in different places. Ask to see the data path for the proposed configuration. Our security page provides a starting point for that discussion, not a universal answer for every deployment.
Proximity matters when there is something to observe together
A nearby agency can make a site visit easier. That may matter for observing operations or training. Many development and review steps can also work through shared screens.
Choose the collaboration around what the process requires. A local address does not replace an understandable handoff. A more distant address does not prevent one.
Pharen is based in Naunhof near Leipzig, working locally in the region and remotely. Our platform is one option; implementation can also build on existing systems. The process should determine the choice rather than whichever tool the provider demonstrates first.
Put the last exercise in the first proposal
Agree on a handoff session where someone from your team takes over a record. They find its source, explain its state and handle a typical exception. The agency observes where knowledge is still missing.
Also record who remains available afterwards, which support is included and how changes are commissioned. A sound handoff can include ongoing support. It should make clear what that support is for.
What a Pharen Hub handover can show
Pharen Hub Workflows represents steps, responsibility and human review points; Lists holds the process data. In the form example, the handover should show which incoming field feeds which record and which step uses it next. These product structures give the explanation a place. The agency still has to document the connection and teach the team how to work with it.
