The AI button is inside the application you already use. That is convenient, until the answer you need depends on a decision stored somewhere else.
When looking for a Microsoft Copilot alternative, start with that boundary. Are you unhappy with a particular answer, missing a source or trying to change the way the whole task runs? Those lead to different choices.
Keep the task the same
Choose one recurring job, such as preparing a reply after a project meeting. Give each candidate the same permitted sources and ask for the same result. Check the factual details and how easily a colleague can verify them.
If the current setup lacks the agreed delivery date, changing models may not help. First establish whether the source is connected and accessible. A model cannot reliably recover a decision it was never given.
Compare the work after the draft
Microsoft presents Copilot around work in its business applications. That proximity can be valuable when the required files, messages and routines already live there. Check the features and terms of the specific product and plan you use; “Copilot” covers more than one offering.
Moving the task, documents and review into a shared workspace is a larger commitment than replacing an AI subscription. It needs a practical reason, such as reducing repeated searches around the same customer reply.
Try editing and approving the draft in both setups. Then let someone else take over. The effort after generation may tell you more than the first answer does.
Price what will remain
Leaving an AI add-on does not necessarily remove the need for Office, Outlook or the rest of Microsoft 365. Include those retained licences, model usage and migration effort in the comparison. Use the current Microsoft offer and Pharen plans rather than a copied price grid.
