The export has finished. The files are there. Then someone opens the onboarding page and discovers that the linked task, filtered view and discussion were what made the page useful.
That is a better starting point for a Notion alternative search than a screenshot of another editor. You are moving a way of working, not just a collection of text.
Choose the page people actually depend on
Pick a page used every week. Follow its links, check who can open them and list what changes during normal use. A read-only handbook and a project database need different replacements.
Rebuild that small example before moving the rest. Ask a colleague to complete the same task in the new setup. If they need to return to Notion for the missing background, the test has found unfinished migration work.
Separate the reason for leaving
If you want simpler writing and documentation, compare those directly. If the requirement is running the software on infrastructure you control, make deployment an early condition. If work keeps escaping into separate task lists and conversations, follow those connections in the trial.
Notion offers more than pages, including databases and AI features. An alternative has to improve the part you actually struggle with. A broad claim that another product is “more operational” tells you very little about your page.
Test the work around the page
For the onboarding example, follow the equipment request, its status and the question that arrives when delivery is late. Keep the handbook available, but judge the trial on whether a colleague can finish the work around it.
